Booking/Deposit Policy: Reservations will not be confirmed until receipt of this form and a non-refundable retaining deposit(s) in the amount of $400 is received by Tropical Dream Wedding LLC. If you are also planning a reception, an additional deposit(s) of $500.00 is required to confirm your date on a definite basic. Please mail, fax or scan/email your deposit to Tropical Dream Wedding, P.O. Box 422, Lawai, Kauai, Hawaii 96765 or fax number is 808-332-0811 or email at aloha@tropicaldreamwedding.com . Payment may be made by personal check, money order or traveler’s checks. As an additional service we also accept Visa, MasterCard, Discover and American Express. We will also require a credit card number to secure your booking. Select from the following;

Upon receipt of your deposit and reservation order form, your date and our services will be secured as your deposit(s) will be applied as starting credit to your account. We then continue to work with you to get an appropriate estimate proposal plan based on the services you have requested including tax and coordination fees.

Additional Deposits: may be required to secure locations, rentals and/or other vendors or services. You will be notified of these requirements should they apply. These additional deposits are also non-refundable upon receipt as required by the site provider or sub-contractor.

Final Payments: Remaining balance on your latest Proposal Plan estimate will be due and must be received by TDW no later then 21 days (3 weeks) prior to events date. Out-of-state checks will not be accepted closer than 45 days prior to your function. If booking is made within 21 days (3 weeks) of wedding date, full payment by credit card or Auto transfer is required to secure reservation process. All deposits/payments will become non-refundable 45 days prior to your event date. Any additions to a wedding package are acceptable provided we are able to secure the services requested within this time frame. For bookings within a 45 day time frame of event date, FULL PAYMENT and additional service fees may apply depending on availability of services and request tasks. This will be accessed and determined by TDW’s wedding director and applied to your proposal. The latest proposal plan estimate sent to you that’s either been sent or attached and is an integral part of this contract. If final payment is not received 45 days prior to your wedding date, client hereby authorized Tropical Dream Wedding, LLC to charge remaining balance on the credit card securing this reservation.

Terms & Procedures: The consultant will work directly with the support services assigned to your program as a representative on your/clients behalf to assure that your/their needs are met in a professional and timely manner. It’s the consultant’s duty by using standard business practices to assure that supports services referred to our client(s) are reputable & reliable. You the client acknowledges that all support services assigned are independent contractors and are responsible for their own business practices. If a support service cannot perform, or changes indicate the need, the consultant under this agreement will make an effort to find a satisfactory substitute as directed by the clients or in the consultant’s best judgment. Tropical Dream Wedding, LLC will not be held liable for any breach of agreed proposal plan by the client, support services or any agreement between client and support services or for non-compliance caused by acts of God, failure of transportation or equipment or by similar nature beyond reasonable control. Tropical Dream Wedding LLC reserves the right to use negatives and/or reproduction for display, publication, or other purposes.

Confirmation: We will send you a confirmation deposit receipt once your paperwork has been processed. A final packet with the outline of your wedding plan and all other pertinent instructions and directions ect. will be sent to you in a timely manner prior to your departure from home and/or in some cases will be waiting for you upon arrival to Kauai.

Services and Fee Structures: Tropical Dream Wedding, LLC is a full service company. All services will be contracted on your behalf through Tropical Dream Wedding, LLC. All added Ala Carte Enhancements, Custom Wedding Venues and all Reception Event Venues are subject to a 20% service fee on sub net totals. These service fees will always be stated in your proposal plan estimate. All services provided by Tropical Dream Wedding, LLC will be outlined in your Proposal Plan Estimate which is an integral part of this agreement. The first initial proposal plan estimate provided by your wedding consultant will serve as your checklist of items ordered, be sure to notify your coordinator if any changes arise so that we may revise your “Proposal Plan Estimate. You may request use of vendors desired, however they must be approved and either contracted by Tropical Dream Wedding or there will be a “Vendor Service Fee” added to your estimate, should the vendor requested not be approved by Tropical Dream Wedding, LLC, an alternate option will be suggested. (Example; A caterer without insurance, commercial kitchen, etc. would not be approved.)
All prices are subject to change without notice. All prices are subject to HI state tax (4.167%). All pre-designed Starter wedding packages are subject to additional service fees if you have additional guests and other requests beyond our standard package structure. Rush and/or Holiday Fees may be added when applicable, this will be advised to you if applies.

Assignment: This Contract, and the obligations of each of the parties as set forth herein, shall not be assignable by either party.

Changes: Additional charges to client (s) may apply if support services are asked/needed to stay longer then the designated time frames in proposal plan. Client must notify the consultant of ANY changes in a timely manner and ANY changes made to the original final agreement must be made in writing and signed by all parties. It is understood that additional cost may apply if major changes of any kind outside of TDW’S standard procedures and policy clauses that are requested by the client(s) after plan is agreed upon, or if changes are requested by client up until 45 days will be honored. If changes are made regarding vendors or locations that have been secured with a deposit, this deposit may be forfeited.

Forms of Payment: TDW requires a credit card (MC, VS, DC & AMEX) for the retaining deposit and payments thereafter can be made in the form of cashiers check, money order, bank wire transfer, traveler’s check or personal check or above Credit Cards Options. All credit card charges over $2,500. (combined or individual) are subject to additional processing merchant service fees. If using AMEX or DC cards will be subject to a 3% merchant service fee on ALL transactions. Client shall pay any fees for returned checks.

Cancellation Policy: Any cancellations to wedding/event reservations must be made in writing to Tropical Dream Wedding, LLC no later than 45 days prior to your event date. All deposits received by Tropical Dream Wedding, LLC. and/or additional deposits for vendors, sites, rentals, etc. that secured services for your date will be forfeited. Event dates and/or deposits are non-transferable unless approved by management. Event dates and/or deposits are non-transferable.
Facsimile and/or E-Mailed Signatures: Facsimile and/or e-mail signatures on this Agreement shall be binding and effective for all purposes and treated in the same manner as physical signatures.
